1. Overview
Keeply LifeSafe ("Keeply", "we", "us", "our") is a personal life-administration application that helps you organize and track documents, vehicles, homes, subscriptions, warranties, household members, and important reminders. We are built with privacy by design — your sensitive information stays yours, and we minimize what we collect and store. This Privacy Policy explains what data we collect, how we use it, how we protect it, and the choices you have.
By creating an account or using Keeply, you consent to the data practices described in this policy. If you do not agree with these practices, you should not use the service.
2. Information We Collect
2.1 Account information
- Email address: used for authentication, account recovery, and notifications you enable.
- Name: optional, used to personalize your experience and in notification emails.
- Authentication tokens: managed by our platform to keep you signed in securely. We never see or store your password in plain text.
2.2 Life records you create
- Reminders, tasks, and life items (titles, due dates, categories, notes, priority).
- Vehicle details (nickname, make, model, maintenance due dates). We encourage storing only partial identifiers (e.g. last 4 digits of VIN or plate).
- Home and property information (names, general area labels, asset details, service schedules).
- Subscription tracking (names, renewal dates, billing frequency, estimated costs).
- Warranty records (product names, purchase dates, retailer, expiration dates).
- Household member profiles (names, relationships, notes — we recommend avoiding sensitive IDs).
2.3 Uploaded files
When you import documents or images, we process them to extract relevant data and generate a redacted summary for everyday display. The unredacted original is stored in encrypted private storage and is only accessed briefly when you explicitly unlock the Secure Vault. Redacted summaries remove or mask sensitive personal identifiers such as full Social Security numbers, account numbers, and other PII.
2.4 Calendar integration data
When you connect Google Calendar or Microsoft Outlook, we use OAuth to create and update reminder events on your calendar. We store only the calendar event IDs needed to keep reminders in sync. We never see or store your calendar password — authorization is handled entirely by the provider's secure OAuth flow.
2.5 Usage and technical data
- Device type, browser type, and approximate location (derived from IP address) for security and analytics.
- App interaction events (e.g. features used, items created) to improve the product.
- Crash and error reports to diagnose and fix technical issues.
3. How We Use Your Information
- To create and manage your account and authenticate your sessions.
- To display, organize, and manage your life records, reminders, and uploaded files.
- To send you email or push notifications about upcoming due dates (only if you enable them).
- To sync reminders to your connected calendar at your request.
- To operate premium features such as the Secure Vault, bank statement scanning, and document redaction.
- To process one-time payments for Full Access and maintain your entitlement.
- To provide customer support and respond to your inquiries.
- To detect, prevent, and address fraud, abuse, and security issues.
- To improve our features, performance, and user experience through analytics.
4. Legal Bases for Processing (GDPR)
If you are located in the European Economic Area, United Kingdom, or Switzerland, we process your personal data under the following legal bases:
- Performance of a contract: processing needed to provide the Keeply service you requested (e.g. storing your records, sending reminders).
- Consent: processing based on your opt-in (e.g. calendar integration, push notifications, analytics).
- Legitimate interests: processing for security, fraud prevention, and product improvement that does not override your rights.
- Legal obligation: processing required to comply with applicable law.
5. Data Sharing & Third Parties
We do not sell, rent, or trade your personal information. We share data only in these limited circumstances:
- Service providers: We use trusted third-party services to operate Keeply, including cloud hosting, authentication, payment processing, email delivery, and AI-powered document processing. These providers process data on our behalf under contractual obligations and do not use your data for their own purposes.
- Calendar providers: When you connect Google Calendar or Microsoft Outlook, we share event details with that provider to create reminders on your calendar.
- Payment processor: Our payment provider processes your transaction and shares confirmation with us so we can grant access. We do not receive or store your full card number.
- Legal compliance: We may disclose information if required by law, court order, or to protect the rights, property, or safety of our users or others.
- Business transfers: In the event of a merger, acquisition, or asset sale, user data may be transferred as part of the transaction. We would notify you before your data is subject to a different privacy policy.
6. Data Security
We take reasonable technical and organizational measures to protect your data:
- Sensitive document originals are stored in encrypted private storage, separate from everyday display data.
- Redacted summaries are used for routine display so your private details stay protected.
- The Secure Vault requires a separate passcode (hashed with PBKDF2) to view unredacted content.
- Row-level security ensures each user can only access their own records.
- OAuth tokens for calendar integrations are stored server-side and never exposed to the client.
- All data is transmitted over encrypted (HTTPS/TLS) connections.
No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
7. Data Retention
We retain your data for as long as your account is active. When you delete a specific record, it is removed from our active database. When you delete your account (available from Settings), we permanently erase all your records, uploaded files, and settings. Some residual data may persist in encrypted backups for a limited period before being purged, but is not accessible or usable.
We may retain limited technical and analytics data after account deletion where required for security, legal compliance, or fraud prevention.
8. Your Privacy Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: request a copy of the data we hold about you (available via the data export feature in Settings).
- Rectification: correct inaccurate or incomplete data by editing your records at any time.
- Erasure: delete your data or your entire account at any time from Settings.
- Restriction: request that we limit how we process your data.
- Portability: export your data in a structured format using the export feature.
- Objection: opt out of certain processing, such as analytics or notifications.
- Withdraw consent: disconnect calendar integrations or disable notifications at any time.
To exercise any of these rights, use the in-app Settings page or contact us through the in-app Help page. We will respond within 30 days.
9. California Privacy Rights (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act:
- The right to know what personal information we collect about you and how it is used.
- The right to request deletion of your personal information.
- The right to opt out of the sale of your personal information. We do not sell your personal information.
- The right to non-discrimination — we will not treat you differently for exercising your privacy rights.
10. Cookies & Tracking
Keeply uses essential cookies and local storage to maintain your session and remember your preferences. We do not use advertising cookies or third-party tracking pixels. Analytics data is collected to understand how features are used and improve the product. You can disable analytics by adjusting your device or browser settings, though some features may not function properly without essential storage.
11. International Data Transfers
Your data may be processed and stored on servers located in countries other than your own. We take appropriate measures to ensure your data is protected in accordance with this Privacy Policy and applicable law, including standard contractual clauses or equivalent safeguards where required.
12. Children's Privacy
Keeply is not intended for children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
13. Calendar Integrations
When you connect Google Calendar or Microsoft Outlook, you authorize us through OAuth to create, update, and delete reminder events on your calendar. Each user connects their own account; we never share one user's calendar connection with another. We store only the event IDs needed to keep reminders in sync — not your full calendar contents. You can disconnect at any time from the Calendar Center or Settings, which revokes our access and stops all syncing.
14. Payment Data
When you purchase Full Access, your payment is processed by our third-party payment provider. We receive confirmation of the transaction (such as order ID and amount) to grant and maintain your access, but we do not receive or store your full credit or debit card number. Payment records are retained for accounting and fraud-prevention purposes as required by law.
15. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above. We will notify you of significant changes through the app or by email. Continued use of Keeply after changes constitutes acceptance of the updated policy.
